Staff Calendar – SATS

Within the Internal Applications Team at SATS, we have a strong focus on empowering our employees at the club to offer the best possible experience to our members and encourage them to have a healthier and happier lifestyle. In this sprint, we focused on the main tool used by Personal Trainers at SATS: the schedule and booking pages within the STAFF tools system which they use to organize and manage their workday and book in their leads & clients. 

 

In the dynamic environment in which the PTs work in, the system has to be as effective as possible and provide frictionless and streamlined operations so that they can fulfil actions as fast as possible. To provide a bit of insight on what lead us to this sprint, here are some of the main challenges that the PTs where facing: 

Schedule challenges: 

  1. Confusing Color Scheme: The use of traditional signal colors, usually understood as system feedback to represent event types (booked sessions, other type of events & availability), created confusion amongst PTs, making it difficult for them to distinguish between different sessions at a blink of an eye.
  2. Navigational Limitations: Employees could not navigate backwards in the calendar, restricting their ability to review past sessions.
  3. Session Information Modal: The existing modal was cluttered, with poorly structured information and irrelevant call-to-actions, complicating the user experience.
  4. System Complexity: The custom nature of the system and limited resources added to the challenge of implementing changes.

Process

 

To address these challenges, I led the project through a comprehensive design process:

  1. Research and Insight Gathering: Conducted sessions and interviews with staff to understand the pain points and gather insights.
  2. Testing the Previous Solution: Assessed the current calendar to identify specific areas needing improvement.
  3. Creative Workshop: Organized a workshop with fellow designers to brainstorm and conceptualize potential solutions.
  4. Prototyping and Testing: Developed prototypes and tested various solutions with users to gather feedback and refine the designs.

Outcome

 

The redesigned staff calendar introduced several improvements:

  1. Enhanced Color Scheme: Assigned distinct colors to different session types, aligned with SATS’s product colors, ensuring a cohesive and on-brand user interface.
  2. Improved Navigation: Enabled navigation to both past and future sessions, providing staff with a complete view of their schedules.
  3. Integrated Schedule: Combined all schedules, including those outside of SATS, into one unified calendar.
  4. Revamped Session Information Modal: Structured the information clearly and included more relevant call-to-actions, making it easier for staff to access important details quickly.

Impact

 

The new calendar system resulted in a faster and more intuitive scheduling process, allowing staff to manage their busy schedules more efficiently. The clear differentiation of session types reduced confusion, and the ability to navigate across all time periods enhanced overall usability.

 

 

Reflection

 

Leading this project was a rewarding experience that underscored the importance of user-centered design in solving complex problems. Despite the challenges posed by the system’s complexity and limited resources, the collaborative efforts and thorough testing led to a solution that significantly improved the user experience. This project not only strengthened my skills in research, design, and implementation but also highlighted the value of continuous user feedback in the design process.
